Medical Front Desk Coordinator
Position Overview
We are seeking an experienced and professional Medical Front Desk Coordinator to serve as a key point of contact for patients, families, physicians, and visitors. This position plays an important role in supporting the day-to-day operations of the medical office while ensuring patients receive a welcoming, organized, and efficient experience.
The ideal candidate will have prior medical office experience, strong communication and organizational skills, and hands-on experience working with electronic medical records (EMR) and practice management systems.
Key Responsibilities
- Greet and assist patients, family members, vendors, and other visitors in a professional and welcoming manner.
- Answer incoming phone calls and make outbound calls to patients, physicians, and other medical professionals as needed.
- Obtain and accurately enter patient demographic, personal, and medical information into the EMR system.
- Schedule, reschedule, and confirm patient appointments.
- Contact physician offices and other healthcare providers to request medical records, documentation, and patient information.
- Review and complete medical forms, ensuring all required information and signatures are obtained.
- Scan, upload, organize, and maintain medical records and other patient documentation.
- Process patient payments and maintain accurate payment records.
- Complete appropriate notes, journal entries, and documentation within office systems.
- Compile patient documentation and ensure the timely and accurate flow of records and information.
- Maintain confidentiality and appropriately handle sensitive patient and medical information.
- Keep patient waiting areas and other shared office spaces clean, organized, and welcoming.
- Provide general administrative and front-office support to physicians and staff as needed.
Qualifications
- Minimum of 2 years of experience working in a medical office environment required; oncology experience is strongly preferred.
- Minimum of 1 year of experience communicating directly with physicians or medical offices to obtain records, medical information, or related documentation.
- Previous experience using an Electronic Medical Record (EMR) system and practice management system required.
- Working knowledge of medical office procedures, terminology, and administrative processes.
- Excellent verbal and written communication skills.
- Strong organizational, planning, and time-management abilities.
- Ability to manage multiple priorities and work effectively in a fast-paced medical office environment.
- Strong attention to detail and commitment to maintaining accurate patient records.
- Service-oriented approach with excellent interpersonal and patient service skills.
- Ability to communicate professionally and effectively with patients, families, physicians, and other healthcare professionals.
