We are hiring on behalf of our client for a full-time, temporary Office Assistant to support administrative operations and day-to-day office functions at their headquarters in Bedford, MA. This position is a leave-of-absence coverage role with an immediate need, ideal for someone who can step in quickly and contribute right away.
This opportunity is well-suited for candidates seeking contract or interim work, including those between roles, exploring new environments, or looking to gain experience within a dynamic medical device manufacturing setting.
This is a hands-on, highly visible role where you will play a key part in keeping the office running smoothly—supporting facilities, coordinating vendors, and ensuring a welcoming and efficient workplace experience.
Key Responsibilities
- Support daily office operations to maintain a smooth, organized, and welcoming environment
- Assist in improving administrative processes and systems for efficiency
- Coordinate with office and building vendors, supporting scheduling and service needs
- Help plan and execute company events and employee engagement activities
- Manage purchasing of office supplies, snacks, equipment, furniture, and company swag
- Coordinate shipping, tracking, and logistics for demo products and internal needs
- Assist with domestic and international shipments, including imports
- Partner with HR to support onboarding activities for new hires
- Maintain documentation related to facility compliance and vendor credentialing
- Provide support to a satellite warehouse as needed
- Assist leadership with ad hoc administrative and operational tasks
Qualifications
- Bachelor’s degree preferred
- 2+ years of relevant experience in areas such as Office Coordination, Administration, Recruiting, Retail Operations, or Hospitality
- Strong organizational, interpersonal, and time management skills
- Ability to prioritize tasks and work effectively in a fast-paced environment
- Proactive, detail-oriented, and adaptable with strong problem-solving skills
- Experience supporting budgets related to office operations or events is a plus
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with design tools (e.g., Canva, Adobe) is a plus
- Experience with project management tools (e.g., Monday.com, Asana) is a plus
- Valid driver’s license and ability to use a personal vehicle for local travel during the workday
- Ability to lift up to 30 lbs
