Description
Our client, a leader in medical device technology and development, has an immediate opening for a Payroll/AP Specialist. This hybrid role will oversee the Payroll process as well as manage the Accounts Payable functions for the organization.
Responsibilities:
- Manage the end-to-end payroll process, including data collection, calculation of wages, deductions, bonuses, and taxes
- Ensure compliance with all federal, state, and local payroll regulations
- Stay updated on changes in tax laws and employment regulations to ensure payroll processes remain compliant
- Oversee the maintenance and optimization of payroll software systems
- Collaborate with IT or software vendors to troubleshoot issues and implement upgrades or enhancements
- Maintain accurate payroll records, including employee information, earnings, deductions, and tax withholdings
- Ensure records are organized and easily accessible for audits or inquiries
- Generate payroll reports for management review and financial analysis
- Address employee inquiries related to payroll, taxes, and deductions promptly and professionally
- Coordinate with HR to administer employee benefits, such as health insurance, retirement plans, and other voluntary deductions
- Implement and maintain internal controls to safeguard payroll data and prevent errors or fraud
- Process vendor payments via check, ACH, or wire transfer, ensuring adherence to payment terms and internal controls
- Reconcile vendor statements and resolve discrepancies or billing issues in a timely manner
- Other responsibilities as required
Requirements:
- Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred
- 5+ years of experience in payroll processing and accounts payable functions
- Proficiency in payroll software (e.g., ADP, Paychex) and accounting software (e.g., QuickBooks, SAP)
- Strong understanding of payroll regulations, tax laws, and accounts payable best practices
- Certified Payroll Professional (CPP) designation preferred
- Excellent attention to detail and accuracy in data entry and reconciliation
- Effective communication and interpersonal skills
- Ability to prioritize tasks, meet deadlines, and work both independently and collaboratively
- High level of integrity and confidentiality when handling sensitive payroll and financial information
