Executive Administrative Assistant

Position Overview
We are seeking a highly polished, proactive, and resourceful Executive Administrative Assistant to provide high-level support to multiple senior leaders within a fast-paced, collaborative environment. This role is ideal for someone who thrives on staying several steps ahead, managing shifting priorities with confidence, and handling sensitive information with exceptional discretion.

The ideal candidate is organized, detail-oriented, and professional, with strong communication skills and the ability to operate with sound judgment in high-pressure situations. This individual will play a key role in keeping daily operations running smoothly while serving as a trusted partner to senior leadership.

Key Responsibilities

  • Provide high-level administrative support to multiple senior leaders
  • Manage complex calendars, coordinate meetings, and proactively resolve scheduling conflicts
  • Anticipate needs and stay ahead of priorities to ensure maximum efficiency
  • Handle confidential and proprietary information with the highest level of discretion
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries
  • Prepare and submit expense reports accurately and in a timely manner
  • Organize internal and external meetings, including materials preparation, venue coordination, A/V setup, catering, accommodations, and meeting logistics
  • Serve as a professional point of contact for key external stakeholders, including clients, investors, regulatory agencies, and industry professionals
  • Partner with other administrative team members to provide support coverage as needed
  • Contribute to administrative best practices and operational improvements across the organization
  • Assist with onboarding new team members and department coordination
  • Support special projects and additional initiatives as assigned

Qualifications

  • Associate’s or Bachelor’s degree preferred
  • 8–12 years of executive administrative support experience required
  • Prior experience supporting senior or executive-level leadership required
  • Startup or high-growth company experience preferred, but not required
  • Exceptional organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities in a fast-moving environment
  • Highly professional, proactive, and solutions-oriented
  • Strong attention to detail with excellent follow-through
  • Demonstrated ability to maintain confidentiality and exercise sound judgment
