Office Clerk
Job Summary
The Office Clerk provides administrative and customer service support within a busy housing business office. This position serves as a point of contact for tenants, assists with payment processing and general office transactions, and supports day-to-day administrative functions including data entry, accounts payable, filing, mail distribution, and recordkeeping.
The ideal candidate is organized, dependable, comfortable working with the public, and able to manage multiple priorities in a fast-paced office environment.
Responsibilities
- Assist tenants with transactions, questions, and requests at the business office service window.
- Enter tenant rent payment information accurately into Timberline.
- Answer incoming telephone calls and direct callers to the appropriate staff members.
- Scan, file, and maintain business office forms and documentation.
- Open, sort, and distribute incoming mail.
- Assist with accounts payable functions, including stamping and coding invoices as directed.
- Maintain maintenance schedules, furniture inventory logs, and other administrative records.
- Participate in cross-training within the Housing Business Office to provide coverage and support as needed.
- Provide professional and responsive service by understanding client needs and directing requests to the appropriate resources.
- Attend and participate in team meetings as requested.
- Communicate effectively and professionally with clients, colleagues, and other departments.
- Maintain confidentiality of client, employee, and organizational information in accordance with applicable requirements.
- Follow established department policies, procedures, and compliance requirements.
- Perform other duties as assigned.
Qualifications
- Associate degree or equivalent combination of education and relevant work experience.
- 2–3 years of office or administrative support experience; property management experience is preferred.
- Bilingual Spanish or Portuguese skills are preferred.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Excellent verbal and written communication skills.
- Strong customer service skills and the ability to work effectively with individuals from diverse backgrounds.
- Proficiency with Microsoft Office, including Word and Excel.
- Experience with Timberline or similar property management/accounting software is a plus.
- Reliable transportation and a valid driver's license required.
- Ability to meet applicable insurance requirements.
- Successful completion of a background check is required.
Schedule
- Monday through Friday
- 9:00 AM – 5:00 PM
- 35 hours per week
- 1-hour unpaid lunch break
Additional Requirements
This position requires regular interaction with clients and members of the public. Candidates must be able to communicate effectively in English and perform the essential administrative and transportation-related functions of the position.
