Overview
We are hiring on behalf of our client for a highly organized and proactive Executive Assistant & Office Manager. This role blends high-level executive support with day-to-day office operations, requiring strong multitasking, communication, and problem-solving skills. The ideal candidate is detail-oriented, resourceful, and thrives in a fast-paced environment.
Key Responsibilities
- Manage executive calendars, scheduling, and meeting coordination
- Prepare reports, presentations, and professional correspondence
- Handle confidential information with discretion
- Coordinate travel arrangements and detailed itineraries
- Serve as a liaison between leadership and internal/external stakeholders
- Assist with basic HR functions, including interview scheduling and record maintenance
- Support finance-related tasks such as expense tracking and invoice processing
- Coordinate company events, meetings, and team activities
- Identify opportunities to improve processes and implement organizational systems
Qualifications
- 3+ years of experience in an administrative, executive assistant, or office management role (preferably within a small company environment)
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- High level of professionalism and discretion
- Proficiency in Microsoft Office, Google Workspace, and scheduling tools
- Ability to prioritize and adapt in a dynamic, fast-paced setting
Preferred Experience
- Exposure to HR processes or basic bookkeeping
- Experience supporting projects or managing timelines
- Strong attention to detail with a solutions-oriented mindset
