Position Summary
We are seeking a dynamic and detail-oriented Rehab Systems Manager to lead and support the residential systems reporting process across our organization. This role is essential in ensuring high-quality, compliant, and person-centered services within residential programs. The Rehab Systems Manager plays a key leadership role in oversight, training, and implementation of systems that promote safety, dignity, and meaningful engagement for program participants.
Education & Experience Requirements
- Bachelor’s degree in Psychology, Human Services, or a related field preferred.
- Prior experience managing teams in complex or diverse service environments preferred
- Working knowledge of residential regulations, systems, and state compliance standards (e.g., DDS or equivalent)
- Valid Massachusetts driver’s license required
Core Responsibilities
Rehab Systems Management
- Provide oversight of residential systems reporting to ensure compliance with state and organizational standards
- Lead the transition from paper-based to digitized case management systems
- Train staff across departments in data systems and protocols
- Contribute to the development and implementation of strategies for future data and information management growth
Residential Program Support
- Support the treatment planning process and ensure accurate, timely documentation
- Coordinate and prepare assessments and reports in collaboration with consultants and team members
- Attend and represent the organization at internal and external meetings as needed
- Monitor and maintain all tracking systems related to reporting and documentation
Safety & Compliance
- Maintain required certifications (CPR, First Aid, behavioral intervention training)
- Oversee accurate incident reporting, documentation, and follow-up
- Ensure physical program environments are safe, clean, and organized
- Respond to and assist with behavioral or medical emergencies in a calm and professional manner
Quality Assurance
- Support and train staff on behavioral and clinical plans, ensuring follow-through and documentation
- Conduct regular reviews to ensure compliance with safety regulations and internal protocols
Leadership & Professional Development
- Provide vision and guidance to staff, encouraging critical thinking and proactive solutions
- Lead and support agency initiatives to improve operational efficiency and service delivery
- Conduct professional and productive meetings with families, colleagues, and external stakeholders
- Mentor staff on professionalism, documentation, appearance, and effective communication
Supervisory Responsibilities
- Collaborates with program managers to oversee data collection and ensure accurate implementation of systems
- Supports staff development through formal and informal training
Required Skills & Abilities
- Strong leadership and organizational skills
- Ability to work independently with minimal supervision
- Excellent verbal and written communication skills
- Comfortable using systems such as Microsoft Office, Excel, HCSIS, and other data platforms
- Ability to manage multiple tasks with attention to detail in fast-paced environments
- Skilled in conflict resolution, feedback delivery, and team collaboration
Physical Requirements
- Ability to stand, stoop, bend, climb stairs, and navigate residential settings
- Frequent use of computers and involvement in speaking, reading, and writing in English
- Must be able to assist in behavioral interventions and ensure participant safety
- Tolerance for working in environments with frequent interruptions or multitasking demands
