Description
We are hiring on behalf of our client for a detail-oriented and highly organized Order Entry Specialist to support a busy Operations team. This role is responsible for processing customer orders, quotes, and registrations with a high level of accuracy while providing exceptional service to internal and external customers.
The ideal candidate has prior order entry experience, thrives in a fast-paced environment, and can manage a high volume of work independently while maintaining strong attention to detail.
Key Responsibilities
- Process customer orders and quotes for materials, digital subscriptions (SaaS), and professional learning registrations
- Review incoming orders to ensure all required information is complete and accurate
- Enter orders, pricing, shipping details, and customer information into internal systems
- Coordinate with shipping to ensure timely and accurate fulfillment
- Communicate with customers to resolve incomplete orders, discrepancies, or shipment issues
- Collaborate with Sales, Customer Service, Finance, and Operations to support order processing and customer requests
- Maintain and update customer account and contact information
- Process credit card payments and related transactions
- Support workshop attendance reconciliation and registrar-related activities
- Assist with departmental projects, process improvements, and document digitization
- Escalate pricing discrepancies, shipping concerns, and account alerts as appropriate
- Perform other duties as assigned
Required Qualifications
- Previous order entry experience in a fast-paced environment
- Strong attention to detail and commitment to accuracy
- Ability to work independently with minimal supervision
- Excellent time management and organizational skills
- Understanding of when and how to escalate order-related issues
- Strong written and verbal communication skills
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- High School Diploma or GED
- Minimum of 2 years of data entry, order processing, or customer service experience
