Key Responsibilities
- Serve as the primary point of contact for visitors, providing direction and facilitating access to appropriate internal teams and services
- Deliver a high level of customer support to individuals seeking in-person assistance
- Receive, organize, and distribute documentation to internal departments with accuracy and timeliness
- Support urgent or sensitive situations by escalating concerns to the appropriate staff as needed
- Maintain a calm, solutions-oriented approach when addressing challenging interactions or high-traffic periods
- Monitor reception and common areas to ensure a smooth and positive visitor experience
- Communicate clearly with guests regarding procedures, expectations, and next steps
- Collaborate with internal teams to ensure continuity of service and effective communication
- Uphold confidentiality standards and handle sensitive information with discretion
- Adhere to all organizational policies, procedures, and compliance requirements
- Participate in team meetings and contribute to a collaborative work environment
- Assist with additional administrative or operational tasks as needed
Qualifications
- Bilingual proficiency in Spanish and Portuguese required
- High School Diploma or equivalent required
- 1–3 years of experience in a front desk, administrative, or customer-facing role
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong interpersonal and communication skills with a customer-first mindset
- Ability to manage multiple priorities in a fast-paced environment
- Experience handling sensitive or confidential information
- Demonstrated ability to remain composed and professional in high-pressure or emotionally sensitive situations
- Familiarity with de-escalation techniques or client-facing support environments is preferred
